About SurveyShack Reportal Solutions
  • Automating Time Consuming, Repetitive, Manual Reporting Processes

The commonly available tools used to generate most reports (Excel, PowerPoint, Word etc) are so sophisticated nowadays that being able to create and then update a report can limit the quality and value of the end result. Those using these types of reporting environments are more often than not far from being completely expert at using them.

Not only is this frustrating for all involved, the time involved in manually creating and updating reports after each feedback cycle often adds considerable delay to being able to produce the outputs. When you multiply this by the number of times the process has to be repeated in a year, the overall cost to the organisation quickly scales.

A SurveyShack Reportal can save a huge amount of time (and therefore cost), by speeding up the production of reports enormously.

Acquiring data is the easy part. So much so that often much of the data is either reported on as mere numbers of responses and averaged to give a simple score, or as we often find, completely ignored because there's just too much of it - particularly when it comes to drawing the incredible insight out of the 'comments' provided by your dedicated respondents.

You've gone to the trouble of acquiring the data, and the respondents have invested their time providing it, maybe there's a way to process the large volume of data automatically, then present it in clear, insightful ways that are designed exactly for those needing to see it, in next to no time?

  • Benefits of Automating Manual Report Generation Processes

Benefits of Automating Manual Report Generation Processes

A SurveyShack Reportal could really save you time and money by allowing you to automate any, or all of the following:

    • Set-up, administer, and report on your list/s of invitees to your regular feedback project
    • Secure, encryption control over participant's anonymous login details - only they will ever know their own passwords
    • Edit and update the questions used in your regular feedback project questionnaire
    • Set up, edit and preview the email communications, all via a simple online user interface
    • Deploy to your invitees, in subgroups or all at once
    • View the status of the live survey - who has responded and who hasn't yet?
    • Deploy a reminder email to those needing a chase
    • Providing online Help resources for those participating in the project
    • Carry out analysis of the data - filter by department, job role, location etc.
    • Review the comments, edit and delete anything inappropriate if required
    • Add you own comments, executive summary, or recommendations
    • Have the system automatically add recommendations/references depending on how the results turn out
    • Preview the final report, then adjust if necessary
    • Generate multiple versions of the report - one for sales, one for HR, one for the board, etc.
    • Publish the report in your preferred format/s, including: csv, pdf, Word, Excel, PowerPoint etc.
    • Automatically distribute to those who need to receive the outputs
    • Control multiple individual logins for stakeholders needing to see the results.

Often the saving in time and cost of running the original process manually can easily exceed the cost to build and run a Reportal - and it all gets done in a fraction of the time thereafter!

  • How Do We Build These Wonderful Tools?

How Do We Build These Wonderful Tools?

It all comes down to really understanding your requirements. Usually the approach is as follows:

    • Our design consultants come from a business background so they understand the pain and frustration that usually comes with a manual feedback process that repeats regularly. They will spend time discussing the business drivers behind your process, learning what you do already, reviewing the materials and the outputs you require, identifying where the most time savings can be made and being clear on any improvements that you may wish to see made.
    • As we build up a picture of what you do already, we'll suggest ideas and provide tips on making sure the new tool follows a robust, secure and reliable process, which is simple and compatible with the users who are going to be interacting with it.
    • A draft specification is then written which describes all aspects of the proposed system, and a budgetary cost proposal is provided.
    • A 'mock-up' of the tool may be appropriate then, and after further consultation perhaps, a final build specification is written, a cost and timeline agreed, the project is signed off and then the build commences.
    • Throughout the build, as well as providing regular status updates, often optimisations become apparent and these are communicated. If agreed, these are applied to the specification also.
    • As the build nears completion, testing can commence and piloting of the Beta version can follow.
    • After the testing, the piloting and any final adjustments are made, the tool is ready for use.
    • Thereafter our technical support team can continue to be available to respond to and resolve any system-related issues if such a support agreement is included in the project contract.
